- Candidate Files, including the electronic application and supporting documents, are stored in a secure database.
- Candidate Files are password protected. Responsibility for maintaining the security of their password rests with the individual candidate.
- All information uploaded to or accessed from the database is encrypted during transmission.
- Active Candidate Files can be accessed and edited by the candidate as the need arises.
- Administrator access to Candidate Files is restricted as follows:
- Candidate files can be accessed ONLY by approved administrators in the school jurisdictions included in the candidate's List of Preferred Locations or to which the application is directed.
- The List of Candidates for specific posted positions and the associated Candidate Files can be accessed by all "Primary" administrator members in the jurisdiction, the individual who posted the position and the "Associate" members specified in the posting.
- Candidate Files are retained for a minimum of 1 year from the date of last activity.
- Membership lists (including email addresses) are for the sole use of DISTRICT OFFICE online Ltd. and are NOT shared with any other individual, agency or organization.
